How Much Glassware To Rent For A Wedding Reception or Special Event?

You decide to throw a big party to celebrate your wedding, engagement, or, perhaps, just the fact that summer has begun. 

You need to rent glassware for a party but what number of glasses do you need? What type of glass rentals do you need? It’s that moment you realize you need help! We have all been there. 

The first step is to determine the type of drinks in scope for your event based on the type of beverages you want to serve. The second step is to calculate the glass rental quantities of the drinks in scope based on the guest count using our recommendations. The following are some guidelines you can use as a glassware rental calculator for your wedding or party. 

Soda / Juice: For weddings or formal events we recommend serving soda or juice in glassware. This is due to the branding on the bottles or cans taking away from the overall event atheistic and the beauty of wedding pictures. The quantity for drink glass rentals we recommend is 0.5 Glass / Hour / Guest (e.g. 100 Guests / 5 Hour Service = 250 Glasses). 

Water: We recommend one water glass rental per guest. Generally we find the highball glass rental is best suited for this beverage service. 

Tea / Coffee / Hot Chocolate: We recommend 1.5 coffee / tea glass cup rentals per guest. 

Why not just one cup rental per guest? Canada ranks as the tenth largest coffee consumer globally. Canadians typically drink an average of 2.7 cups of coffee daily. This extra half cup rental per guest will allow for a second cup of coffee for some guests. 

Sparkling Wine (E.g. Champagne, Cava, Prosecco): We recommend one champagne flute rental per guest. If you offer a champagne toast, this rule still applies as people can reuse the same glass. 

Red and White Wine: The number one question we get asked is “How many wine glasses to rent for a wedding?” 

We recommend avoiding renting a specific glass type for red and white wine. This approach will decrease the glassware rental price in half. We recommend 1.5 universal wine glass rentals per guest. 

Why not just one glass rental per guest you ask? This extra half wine glass per guest will allow some switching between red and white wines during the course of your event. 

Beer: We recommend one beer glass rental per guest. 

Whisky / Spirit Tasting: We recommend one Glencairn glass rental per tasting multiplied by the number of guests. 

Mixed / Highball Drinks (E.g. Rum and Coke, Vodka Soda, Gin and Tonic Etc): Rocks or Highall glasses are good options. The quantity for glass rentals for parties we recommend is 0.5 Glass / Hour / Guest (e.g. 100 Guests / 5 Hour Service = 250 Glasses). 

Cocktails / Mocktails: Generally the quantity of cocktails offered at an event are a fixed amount. This is because cocktails use specialty ingredients that are costlier like bitters, herbs, syrups, fresh fruits and juices etc. We recommend planning for one glass per serving in the correct type of glass.
